The complete guide to PIM software
Buy a PIM when channel requirements outgrow your store's product fields, and judge it on per-channel completeness, because incomplete listings are what retailers and marketplaces reject.

This guide is for ecommerce and wholesale brands whose product data lives in too many places: a Shopify admin, an ERP export, a shared drive of images, a retailer’s onboarding spreadsheet and somebody’s inbox. It is written for the operations lead, ecommerce manager or founder who has been told “we need a PIM” and wants to know whether that is true, what it costs and how long it takes.
By the end you should be able to tell a PIM apart from the ERP, DAM and CMS you may already own, decide whether your SKU count, channels and retailer requirements justify one, shortlist tools by segment and pricing model, and plan an implementation that does not stall in the data model phase. If you sell a few hundred products through one storefront in one language, you probably do not need a PIM yet, and this guide will say so.
Summary
- A PIM (product information management system) is the place where marketing-grade product data is modeled, enriched, checked and sent to channels. It is not your system of record for price, stock or cost.
- The trigger is rarely SKU count alone. It is the number of channels with different attribute rules, the number of languages, and retailer or marketplace schemas you cannot meet from your store’s fields.
- Amazon and Walmart both publish machine-readable, per-product-type schemas with required and conditional attributes. A PIM’s job is to hold that complexity once and map it out many times.
- Completeness scoring per channel and locale is the feature to judge a PIM on. It turns “is our data good?” into a number per retailer.
- Pricing splits three ways: published SKU-tiered SaaS (Plytix), free or licensed open source (Akeneo Community Edition, Pimcore), and quote-only enterprise contracts (Akeneo paid packages, inRiver, Salsify, Syndigo).
- Implementation usually costs as much as, or more than, the first year of license at enterprise scale, according to one vendor’s own guide. Budget for data cleanup, not only software.
- Measure ROI on time-to-market, listing rejections and returns attributed to wrong product information. Vendor-commissioned ROI studies exist; read them as vendor claims.
1. What PIM is, and what it is not
A PIM is a central database for the product information customers and channels see: titles, descriptions, bullet points, specifications, dimensions, materials, compliance attributes, images, translations and relationships between products (variants, bundles, accessories). Teams enrich that data in one place, check it against rules, and then publish it to a store, marketplaces, retailers, print catalogs and partner portals.
The confusion comes from overlap. Four systems often claim to “manage products”:
| System | What it is the source of truth for | Typical owner | What it usually does badly |
|---|---|---|---|
| ERP (enterprise resource planning) | SKU creation, cost, price, inventory, purchasing, finance | Finance, operations | Long-form copy, translations, channel-specific attributes, rich media |
| PIM (product information management) | Marketing and channel attributes, enrichment status, channel mappings | Ecommerce, merchandising, product content | Stock, pricing logic, orders |
| DAM (digital asset management) | Images, video, spec sheets, brand files and their rights and versions | Creative, brand | Structured attributes per channel |
| CMS (content management system) | Web pages, editorial content, landing pages | Marketing, web | Thousands of structured SKUs and feeds to third parties |
A useful rule: the ERP says a product exists and what it costs, the PIM says what it is and how to describe it on each channel, the DAM holds the files that show it, and the CMS builds the pages around it. Many PIMs include a light DAM, and many commerce platforms include light PIM features. That overlap is why the decision is about scale and channels, not about which category label a vendor uses.
A SKU (stock keeping unit) is your internal identifier for a sellable variant. A GTIN (Global Trade Item Number) is the GS1-issued number behind a UPC or EAN barcode, and it is what Walmart’s item setup keys on rather than your SKU.11 Source: Walmart Developer, “Get item setup requirements”, accessed Oct 2026. The GTIN-versus-SKU point is from Walmart’s item setup documentation in the same section.
2. When a brand actually needs a PIM
Most brands start with their ecommerce platform as a de facto PIM, and for a while that is the right call. Shopify, for example, supports metafields, which are custom fields on products and variants with validation rules, and category metafields tied to its Standard Product Taxonomy.22 Source: Shopify Help Center, “Metafields”, accessed Oct 2026. That taxonomy covers more than 26 business verticals, over 10,000 product categories and over 1,000 attributes, according to Shopify.33 Source: Shopify, “Introducing Shopify’s Standard Product Taxonomy”, accessed Oct 2026. Published June 24, 2024. Merchants can create up to 256 metafield definitions per resource type, and most metafield values are capped at 64 KB.44 Source: Shopify.dev, “Metafield limits”, accessed Oct 2026. ID and URL types are capped at 2 KB and JSON at 128 KB.

The question is whether it can hold the version of your data every other channel wants. These are the signals that matter.
Channels with their own rules
Amazon describes its catalog requirements as JSON schemas per product type, served by its Product Type Definitions API, and those definitions “always describe the latest up-to-date Amazon catalog requirements” unless you pin a version.55 Source: Amazon Selling Partner API, “Product Type Definitions API”, accessed Oct 2026. Walmart does the same through its Get Spec API: one call returns setup requirements for up to 20 product types as JSON Schema, including required fields, allowed values, validation limits and conditional rules, such as a warranty URL becoming required when a seller says the product has a written warranty URL.1
When you sell on two or more marketplaces plus your own store, every product type you add multiplies the mapping work. That mapping layer is what a PIM is for.
Retailers and GDSN
Grocery, health and beauty, consumer packaged goods and foodservice buyers often ask suppliers to publish item data through GDSN. The Global Data Synchronisation Network is GS1’s network of certified data pools plus a central GS1 Global Registry. A supplier loads data into a certified source data pool, the pool registers basic item details with the registry, retailers subscribe through their own pool, and the data is then “automatically and continuously synchronised” between pools, according to GS1.66 Source: GS1, “How does the GDSN work?”, accessed Oct 2026. Several PIM vendors run their own certified pools or GDSN offerings: Salsify lists a GDSN Data Pool product, and Syndigo lists GDSN and says 1WorldSync is now part of Syndigo.77 Source: Salsify, “Product Experience Management”, accessed Oct 2026. Lists PIM, Syndication, Enhanced Content, Intelligence Suite and GDSN Data Pool. 88 Source: Syndigo, “Product Information Management”, accessed Oct 2026. Recipient reach and implementation speed are the company’s own claims. If a retailer requires GDSN, your PIM choice and your data pool choice become linked.
Languages and markets
Every locale multiplies the fields to fill: ten attributes in three languages is thirty values per SKU. Translation workflow and per-locale completeness are where store admins break first.
SKU count, last
There is no official threshold. Plytix’s published pricing runs from 100 to 25,000 SKUs before switching to custom quotes, and inRiver’s cost guide groups buyers into under 5,000, 5,000 to 50,000, and over 50,000 SKUs.99 Source: Plytix, “Pricing”, accessed Oct 2026. Prices come from the page’s SKU calculator, shown in USD to US visitors and in EUR elsewhere; Standard shows $0 at the 100-SKU step. Add-on prices also scale with SKU count. 1010 Source: inRiver, “How much does PIM software cost? A complete pricing guide”, accessed Oct 2026. A vendor’s own ranges, described there as directional. Those are vendor packaging decisions, not industry rules. A brand with 800 SKUs on six channels in four languages needs a PIM more than a brand with 8,000 SKUs on one storefront.
Who does not need one yet: single-storefront brands in one language, with no retailer or marketplace feeds, and a team small enough that one person owns product data. Clean up your platform’s fields and metafields first.
For how marketplace listings and retail operations fit together, see the complete guide to selling on Amazon and Walmart as a brand.
Keeping stock counts accurate is a separate job from product content; see the best inventory management software for 2027.
3. Core capabilities to evaluate
These are the capabilities that decide whether a PIM still works for you a year later.
Data model: attributes, families and variants
An attribute is a field (material, voltage, care instructions). A family (also called product type or template) is the set of attributes a kind of product carries. Variant models handle parent products with child SKUs that differ by size or color. Test whether the model represents your hardest product, such as a kit or a product sold under different names by region, without workarounds.
Completeness scoring
Completeness tells you how much of the required data is filled for a given channel and language. In Akeneo, “the completeness is defined by a family, a locale and a channel”: the family decides which attributes are required, the channel decides which locales count, and the score is the share of required attributes with a value, with 100% meaning complete.1111 Source: Akeneo Help Center, “Understand product completeness”, accessed Oct 2026. This is the feature that converts retailer requirements into a work queue.
Enrichment workflows
Workflows route a product through draft, review and approval, often with role-based permissions so a copywriter cannot change a regulatory attribute. Akeneo lists collaboration workflows for validating and approving product data in its Advanced package and above.1212 Source: Akeneo, “Compare Packages”, accessed Oct 2026. The Growth package price did not display as a usable figure when we checked; Advanced and Premium are “Call for a quote.” Plytix lists task assignment and user roles, with advanced permissions and SSO on higher plans.9
Syndication and feeds
Syndication means transforming and sending product data to a channel in that channel’s format, then handling the errors that come back. Some PIMs do this natively; others rely on connectors or a separate feed tool. Akeneo says each of its paid packages includes one activation channel, with apps for Shopify, Adobe Commerce and Salesforce Commerce Cloud sold as add-ons.12 Plytix sells Feed Management and individual channel connectors as monthly add-ons.9 Syndigo describes distribution to “thousands” of retailers, marketplaces and distribution partners, with API and EDI connectivity; that is its own claim.8 Ask every vendor which of your channels are native, which need a paid connector, and who fixes the mapping when a channel changes its schema.
DAM integration
Images and documents are product data too. Some PIMs include asset management with a CDN and transformations, as Akeneo and Plytix describe; others integrate with a separate DAM.129 If your creative team already runs a DAM, test the link: does a new image version appear on the product automatically, and does it respect usage rights?
AI enrichment
Every vendor now ships AI features. Akeneo lists AI description generation and asset extraction in its Growth package.12 Plytix includes 500 AI credits a month on every plan, with an unlimited AI add-on.9 Syndigo describes AI extraction of attributes from images and spec sheets, plus AI translation.8 Treat AI as a drafting tool, useful for first-pass copy and for pulling attributes out of supplier PDFs. Keep a human approval step on regulated attributes.
4. The main tools by segment
This is a neutral map, not a ranking. Prices are list prices as published on official pages as of October 2026; where a vendor publishes no price, we say so.

| Tool | Segment | Deployment | Pricing model as published | Published list price (Oct 2026) |
|---|---|---|---|---|
| Shopify (metafields, Standard Product Taxonomy) | Single-platform brands | SaaS, inside the store | Included with the platform | No separate price |
| Plytix | Small and midsize brands | SaaS | Monthly, tiered by SKU count, plus per-module add-ons | Standard from $49/mo (500 SKUs), Pro from $149/mo, Enterprise from $699/mo; custom above 25,000 SKUs9 |
| Akeneo Community Edition | Teams with developers | Self-hosted, open source | Free license; you host and support it | Free13 |
| Akeneo (Growth, Advanced, Premium) | Midmarket to enterprise | SaaS | Annual packages; Advanced and Premium by quote | Quote for Advanced and Premium12 |
| Pimcore | Teams wanting an open platform (PIM, DAM, MDM) | Self-hosted, private cloud or PaaS | Free Community Edition under its own license; annual commercial editions | Professional $9,900/yr, Enterprise from $29,900/yr, PaaS custom14 |
| inRiver | Midmarket to enterprise, often manufacturers | SaaS | Four tiers, all custom-quoted, unlimited users per the company | No published prices15 |
| Salsify | Consumer brands selling through many retailers | SaaS | Modules (PIM, syndication, enhanced content, GDSN data pool) | No published prices16 |
| Syndigo | Enterprise brands, retailers, distributors | SaaS | Platform plus content, syndication and GDSN offerings | No published prices8 |
Notes on each
Shopify-native. Metafields and category metafields go a long way for a single store.32 What is missing is per-retailer completeness, approval workflow and any mapping into Walmart’s or Amazon’s schemas. Akeneo and Plytix both sell Shopify connectors, which shows where the line usually falls.129
Plytix. The only vendor here with a public price calculator. Prices scale with SKU count from 100 to 25,000 SKUs, with unlimited seats and file storage on every plan. Channel connectors (Shopify, BigCommerce, Wayfair) and Feed Management are paid add-ons, which can double the bill.9 Not for: brands that need GDSN or deep ERP-driven product modeling.
Akeneo. The Community Edition is free, “forever-free” in Akeneo’s words, but you download, install, host and support it yourself, with community rather than vendor support.13 The SaaS packages add workflows, permissions, governance and AI features by tier; Advanced and Premium are quote-only.12 Not for: teams without developer capacity who pick Community Edition to save money.
Pimcore. An open platform covering PIM, DAM and more. Since Platform 2025.1 the Community Edition is licensed under the Pimcore Open Core License (POCL) rather than GPLv3; Pimcore says it is free for companies with under 5 million in annual revenue (it gives the figure as EUR/USD), and it prohibits redistributing the core as SaaS without an OEM license.1717 Source: Pimcore, “Breaking free: Pimcore says goodbye to GPL and enters a new era with POCL”, accessed Oct 2026. Version 2024.4 was the last GPLv3 release. This is a summary, not legal advice. Commercial editions are annual, with no caps on products, assets or sites per Pimcore’s pricing page.14 Not for: buyers who want a configured SaaS tool on day one. Have counsel read the license if you are near the revenue threshold.
inRiver. Four tiers (Foundation, Core, Professional, Enterprise) sized by company, all customizable, with support included and no published prices.15
Salsify and Syndigo. Both target brands selling through many retailers that need syndication, enhanced content and GDSN alongside PIM. Neither publishes prices.7816 Not for: a brand whose only channels are its own store and one marketplace.
5. What PIM costs, including implementation
License, with a worked example
Plytix’s calculator lets you price a real configuration. A brand with 7,500 SKUs on the Pro plan, with the Shopify connector and Feed Management add-ons, would pay $339 + $119 + $179 = $637 a month at list price, or $7,644 a year, as of October 2026.9 That is our arithmetic from its published figures; the vendor may change them.
Pimcore’s Professional edition at $9,900 a year includes no seat or product caps, but you still pay for hosting and developers.14 Akeneo’s Community Edition has no license fee and the same caveat.13
For quote-only vendors, the only published ranges we found come from the vendors themselves. inRiver’s pricing guide says SaaS entry plans start around $450 a month, mid-market configurations run $1,000 to $2,000 a month, and enterprise contracts are often $25,000 to $90,000 or more a year.10 The same guide puts total first-year costs for open-source PIM at $10,000 to $100,000 or more once hosting, developers and integrations are counted.10 Treat those as one vendor’s benchmarks, written by a company that competes with open source.
Implementation and partners
The inRiver guide lists data migration at $5,000 to $30,000 or more, integration or connector work at $3,000 to $20,000 or more per integration, and consulting from $4,000. It says implementation and onboarding at enterprise scale equal or exceed one year of license.10 It does not quantify partner fees beyond that.
Most enterprise PIMs are implemented by certified partners. Ask for a fixed-scope phase one and a separate line for data cleanup, because cleanup is the line that grows.
6. How to choose
- List every channel and its spec. Your store, each marketplace, each retailer portal, any GDSN requirement, print catalogs, distributor feeds. For each, note the format (API, feed file, portal upload, EDI) and who owns it.
- Pick your three hardest product types. The ones with variants, kits, regulatory attributes or many locales. Every trial should model these, not the vendor’s demo data.
- Decide your hosting tolerance. If nobody on staff can patch a server, open source means a partner retainer.
- Test completeness and one round-trip. In a trial, load 50 real SKUs, set required attributes for one marketplace, watch the completeness score, export to that channel and see what errors come back.
A short decision guide by situation:

- One store, one language, under a few thousand SKUs: stay on your platform’s native fields and taxonomy.
- Store plus two or three marketplaces, small team: a SKU-priced SaaS PIM with the connectors you need.
- Many retailers, GDSN, enhanced content: a syndication-heavy platform where the data pool and retailer connections are first-party.
- Complex models, in-house engineering, strong ERP: an open-source or highly configurable platform, implemented with a partner.
If your retailers also require EDI for orders and ship notices, keep the two straight: PIM carries item content, while EDI carries transactions such as purchase orders and ASNs. See the complete guide to EDI for ecommerce brands.
7. Implementation: audit, model, migrate, run
Step 1: data audit
Export the ERP item master, store products, retailer spreadsheets, supplier sheets and image folders. For each attribute, record the source, the owner and how many SKUs have it filled. Decide which system wins for each field before you pick a tool.
Step 2: model design
Design families and attributes from the channel specs backwards. Name attributes once, with units and allowed values, and map each to every channel’s field name. Akeneo’s partner Valtech, writing on Akeneo’s blog, recommends not starting with an MVP longer than three to four months.1818 Source: Akeneo blog, “How to Design Your PXM Program For Success” (guest post by Valtech), accessed Oct 2026. Undated on the page; appears to be from early 2024. Keep the first model small enough to ship.
Step 3: migration and integration
Load in waves by product type. Connect the ERP inbound first (SKU, GTIN, status), then the store, then each marketplace or retailer, each with its own test cycle.
Step 4: run it
After go-live, new products enter through the PIM and completeness gates publishing. Amazon notes its definitions always reflect current requirements unless you pin a version, so someone must own schema changes.5
Timelines
There is no neutral benchmark. The Valtech post on Akeneo’s blog describes a six-month implementation as one using standard components with some basic customization.18 Syndigo says brands “typically see results within weeks, not months”; that is a vendor claim about its own platform.8 Plan on weeks for a SaaS tool with a few hundred SKUs and one channel, and on months for a multi-retailer program with ERP integration.
Roles
- Executive sponsor: settles which system owns which field when teams disagree.
- Product data owner: one person accountable for the model and for completeness targets.
- Data stewards or enrichers: merchandisers, copywriters, translators.
- Integration owner: an internal engineer or the partner, responsible for every connector.
- Project manager: the Valtech post says it typically allocates 10 to 15% of a project to project management.18
8. Measuring ROI, and the mistakes that sink it
What to measure
Pick three numbers before go-live and record a baseline.

- Time-to-market: days from a SKU being created in the ERP to being live and complete on each channel.
- Listing errors: rejected or suppressed items per channel per month, and on Walmart, the content quality component of Listing Quality, which “measures the efficacy of your listing’s item name, item description, key features and images.”1919 Source: Walmart Marketplace Learn, “Listing Quality: Learn more about your score and how it’s calculated”, accessed Oct 2026. The five components are content quality, price competitiveness, shipping, published and in stock, and ratings and reviews.
- Returns attributed to product information: returns coded “not as described” or similar, as a share of all returns.
Why returns matter: NRF and Happy Returns projected that retailers would see 15.8% of annual sales returned in 2025, and 19.3% of online sales.2020 Source: NRF, “Consumers Expected to Return Nearly $850 Billion in Merchandise in 2025”, accessed Oct 2026. Released October 15, 2025, with Happy Returns. Vendor surveys suggest a share of that is about product content. Akeneo reports that nearly 60% of consumers have returned a product due to inaccurate or misleading descriptions, and Salsify reports that 54% of shoppers abandoned a sale because product content was inconsistent across channels, from a survey of 1,910 US and UK shoppers.2121 Source: Akeneo, “2025 Consumer Returns Report”, accessed Oct 2026. The landing page does not state sample size or fieldwork dates. 2222 Source: Salsify, “Fix These Top Product Page Conversion Killers”, accessed Oct 2026. Cites Salsify’s 2025 Consumer Research; 53% cited incomplete or poorly written titles or descriptions. Both companies sell PIM, so treat those as directional.
Akeneo commissioned Forrester Consulting for a Total Economic Impact study published in December 2022, which reported a 365% ROI and a net present value of $4.49 million for a composite organization built from customer interviews.2323 Source: Akeneo, press release on its commissioned Forrester Total Economic Impact study, accessed Oct 2026. Commissioned by Akeneo, conducted by Forrester Consulting, December 2022. Use it to see which benefits a vendor counts, not as a forecast.
For where PIM sits among the CRM, commerce and operations systems that feed revenue, see the complete guide to building a B2B revenue stack.
The mistakes
- Buying before the audit. Without a field-by-field ownership map, the PIM becomes a fourth copy of the data.
- Modeling the whole company in phase one. Model the channels that make money first.
- Treating syndication as included. Check which connectors are native, which cost extra, and who maintains them when Amazon or Walmart changes a schema.51
- Making the PIM the source of price and stock. Keep those in the ERP or order management system.
- Letting AI publish unreviewed. Generated copy is a draft. Regulated and safety attributes need a human approver.
- Measuring adoption instead of outcomes. Logins prove nothing. Completeness by channel, time-to-market and listing errors do.
- Choosing open source to save license fees without budgeting hosting, upgrades and a partner. Check the license terms too, since Pimcore’s changed in 2025.17
9. The verdict
A PIM pays off when you sell the same products through several channels that each want different fields, formats and languages. Its value shows up as per-channel completeness, fewer rejected listings and faster launches, not as a prettier product grid. Brands on one storefront should first get their platform’s native fields in order.
Frequently asked questions
What is the difference between PIM and ERP?
The ERP is the system of record for SKU creation, cost, price, inventory and finance. The PIM holds the descriptive and channel-specific product content and checks it before publishing. Most brands that run both send core identifiers from the ERP into the PIM and keep price and stock out of it.
Do I need a PIM if I only sell on Shopify?
Usually not. Shopify’s metafields, metaobjects and category metafields based on its Standard Product Taxonomy cover a single store well.32 The case for a PIM starts when you add marketplaces, retailers or languages with their own required attributes.
Is a PIM the same as a DAM?
No. A DAM manages files such as images, videos and spec sheets, with versions and usage rights. A PIM manages structured attributes. Many PIMs include basic asset management, and larger organizations often connect a dedicated DAM to the PIM.
Does a PIM handle GDSN?
Some do, directly or through a partner pool. GDSN requires publishing through a GS1-certified data pool, which then synchronizes with the retailer’s pool.6 Salsify and Syndigo both list GDSN offerings; with other PIMs, ask whether they export to a certified pool you already use.78
Is open-source PIM really free?
The license can be. Akeneo Community Edition has no license fee but you host and support it, and Pimcore’s Community Edition is free only under its license terms, including a revenue threshold.1317 Hosting, upgrades and developer or partner time are the real costs.
How long does a PIM implementation take?
One Akeneo partner describes a six-month implementation for standard components with basic customization and advises keeping the first phase to three or four months.18 A small SaaS rollout with one channel can be much shorter.
Can AI replace product data enrichment?
Not fully. PIMs use AI to draft descriptions, extract attributes from documents and images, and translate.812 Those drafts still need review, especially for regulated, safety and compliance attributes.
